Changing one field in an employee's address book record can take a user to as many as six different screens. EASYProcess gives employees and managers access to update their own records, with the option to require approvals for these changes as necessary.
Since Employee Self Service is built with EASYProcess, users have the option to update their portal or have this service performed by K-Rise System, Inc. Keep your managers and employees happy with this easy to use portal.
Relieve your human resource department from phone and email requests made by employees needing to update address information, request leave, or change their banking information.
Through a secure login, employees can enter in their weekly hours using two methods. Employees can either submit their hours worked on a daily basis, or upload a preformatted spreadsheet and enter in their hours within this template on a weekly basis. Once submitted, this information is placed in a queue for approval from the appropriate manager.
Leave Request and History
With Employee Self Service, users now have the ability to submit leave requests for approval. Users can request the type of leave, date range, or start date and duration entry. Any comments that are added regarding time-off can follow the leave request into JD Edwards. Requests then are submitted for approval from the appropriate manager according to the rules set in JD Edwards. Leave request history can also be reported on as well.

Pay Stub History and Detail
Pay stub history and detail reports can be created against real-time data in JD Edwards. When searching by date, for example, users are exposed to details concerning a pay stub line item. As with any EASYProcess portal, these lists and reports can be exported as an excel spreadsheet or PDF document.

Employee Tax Forms
Employees can access tax forms with this self-service portal. Actual W-2 forms or T4 forms (Canada) can be accessed via JD Edwards, an image server, or through the Employee Self Service portal itself. A summary page is also available which includes all pertinent tax data.
Management can utilize this workbench to review leave requests, salary history, as well as view each employee's level of authority within the organization.
Manager's Workbench
Update Employee Address Book Records
Managers have full control, per JD Edwards rules, of employee address book records.
Manage Time Entries
A manager can approve an employee's time entry within the "Manage Time Entries" page. Mass updates and approvals can also be performed through here as well. Entries can be uploaded from a preformatted spreadsheet or created on an individual basis through the "Quick Time Entry" page. Job codes, account codes, and employee numbers can be searched for and located in JD Edwards. Submissions are authenticated against JD Edwards as well.

Time Entry Across Entire Groups or Teams
Flexible time entry features allows users to upload spreadsheets based on a pre-configured format. Managers can select a group based on various criteria and update across that certain group or team. Quick entry can be performed against employees' records as well.
Time Entry and Leave Request Approvals
Managers have queues for approving both time entry and leave requests. These approvals follow the hierarchy in place by JD Edwards.
Update and View Subordinate Details
Users can control subordinate details and other information related to those employees and their managers, specifically.
View Manager's Details
Users can access employee data for a manager currently logged in to the Employee Self Service Portal.
Employee Tax Form Functionality
The Employee Self Service Portal gives human resources many possibilities for dealing with W-2 or T4 (Canada) tax forms. These forms can be made available to your employees through your image server, or from JD Edwards (if these forms are stored here). Employee Self Service also gives you the ability to create and distribute these forms, as well as make them available for download. Employee tax forms can be distributed as a PDF attachment or through a secure link to the stored document as well. Employee Self Service gives administrators the ability to import PDF forms and then map the necessary data to that document.
I wanted to let you know that the first release (ESS Portal0) has been a great success since its launch. The communication went out to the company yesterday afternoon. Since then the site collection has had over 1,000 views and almost 300 updates have been made using the EASYProcess. Comments from the staff via SharePoint are also trending nicely with a 98% approval rating. I think we'll pick up that last 2% with release 2.
Employee Self-Service takes Flight: The WestJet Story
WestJet, Construction
Challenge: WestJet, a leading airline chartered in Canada, was looking for a way to integrate HR data within SharePoint. The Wesjet SharePoint Corporate site was highly rated by the employee (owners) of WestJet and giving them the ability to access their personal HR data, securely, in SharePoint seemed like a good fit.
Solution: K-Rise Systems Employee Self-Service portal was selected not only for its ability to integrate into SharePoint but also, because it is built with EASYProcess, because it would allow them to release the portal in stages seeking user adoption and feedback along the way. The portal would also allow for outward facing SharePoint access as well if that should ever become necessary.
Result: Within a month of project kick-off K-Rise Systems with WestJet staff was able to take Rollout 1, of 5, live to very excellent user reviews. And one month later, rollout 2 went live gaining an even larger share of users accessing their data. Currently 3 more rollouts are planned.
EASYProcess can be implemented for all versions of JD Edwards, from the latest EnterpriseOne and further back to World 7.33. EASYProcess has the ability to call business functions within your system the way they are currently being used.
Have international customers and employees? Don't worry. EASYProcess makes use of emulators to perform background functions the same way as your users would. Direct table look-ups for inquiries can also be done by combining results with data from other sources as well. Reporting across data sources is a major feature of any EASYProcess application.
JD Edwards World Integration
EASYProcess uses ISeries/AS400 screen emulators to give you access to JD Edwards World transactions.
These emulators run as a server and host multiple sessions of ISeries as necessary.
EASYProcess allows you to write and read from these ISeries sessions/screens from the process orchestration.
This service uses standard ISeries emulator commands to do transactions in JD Edwards World.
JD Edwards E1: Business Function (BSFN) Integration
EASYProcess calls the JD Edwards Business Functions (BSFN) using XML Interoperability. To ensure that your business logic is enforced, all transactions use only BSFNs available on your enterprise server.
Master Files Integration
EASYProcess has the ability to connect directly to a JD Edwards database using ODBC, MSSQL or OleDB protocols. This allows EASYProcess to bring any data from JD Edwards or insert / update any data back into it. With EASYProcess it's possible to connect to both the JD Edwards Data Library and the JD Edwards Control Library, enabling the availability of UDC Codes.
EASYProcess can also use the JD Edwards ODA driver to enforce JD Edwards row and column-level security if needed.
In order for EASYProcess to take advantage of XML interoperability connectivity when calling business functions, user authentication is needed. This is common within two scenarios:
Scenario 1: Extending Accessibility of JD Edwards to new users (Such users are unauthenticated or do not exist within JD Edwards.)
EASYProcess connects to JD Edwards through a dedicated JD Edwards user.
Each JD Edwards transaction will be called by this dedicated JD Edwards user.
The new or unauthenticated user data can be stored within other columns of the table, such as "OrderedBy."
Scenario 2: Users of the Product Already are a Set of Users within JD Edwards
EASYProcess, using JD Edwards authentication, allows users to log in with a JD Edwards user I.D. and password.
JD Edwards transactions will be called by a user's own set of JD Edwards credentials.
Database Access Security
Row Level Security
EASYProcess can make use of the JD Edwards ODA/JDBC driver to enforce row and column level security.
Column Level Security
EASYProcess can mirror this security on its Web Parts, where the fields will display according to set restrictions (e.g. disabled, read only).
EASYProcess is certified to integrate with SAP ECC 6.0 and all previous versions, including the R/3 product line. Naturally, this also applies to the individual modules of ECC, such as FICO, SRM, CRM, SCM, PLM, etc.
SAP Integration
EASYProcess integrates with the SAP Business Object Repository (BOR) API using the SAP .NET Connector 3.0. EASYProcess can access an SAP business object by calling one of its BAPIs. For example, when EASYProcess wants to get a list of all companies, it would call the "BAPI_COMPANY_GETLIST" BAPI of the company business object. EASYProcess can also call non-BAPI function modules.
This integration format ensures that all integral logic and data access remains in SAP, leaving your EASYProcess team to work with the high-level business rules that produce ROI.
EASYProcess maintains the security protocols defined in SAP by using an SAP user account to make all BAPI and RFC calls. Anytime EASYProcess interacts with SAP, an SAP user account is utilized. This can be a service account that is used in all transactions, allowing non-SAP users to benefit from your EASYProcess web portals. Alternatively, users can log in to an EASYProcess web portal using their SAP user credentials, which are passed securely to SAP for verification, before any data is exposed or received. For any kind of security configuration you may have in place, EASYProcess is ready to authenticate with SAP through SAP-certified channels.
Because all K-Rise Systems enterprise applications are built using EASYProcess, gaining an understanding of this development platform will give important insight into the specific product you are exploring.
Employee Self Service by K-Rise Systems, Inc. is truly out of the box. Installation and implementation of the features part of the standard module are included with purchase. K-Rise Systems, Inc. knows that minor adjustments may be necessary to this standard module in order to align with your business model, specifically. Such adjustments need only 2-3 weeks of billing time in order to be completed; projects can go live within 1 month of your Employee Self Service purchase. The Fortune 500 tab located on this page offers more insight into complex business needs that were fulfilled within this timeframe.
Fortune 500 companies are not the only ones with complex rules. The term "Fortune 500" this context refers to a company, of any size, requiring complexity levels similar to that of a Fortune 500 company. These levels of complexity allow your company to operate in a manner that is efficient, effective, and in line with your business model. Employee Self Service can be tailored to your business model as the portal is built using EASYProcess.
The Employee Self Service Portal can be utilized in a variety of industries with differing business needs. For example, a large distribution company may have straightforward human resource rules while a smaller construction company, with a majority of the workforce on-site, to be characterized by much more complex rules. EASYProcess has the ability to tailor your Employee Self Service Portal to align with your human resource rules, no matter the size or industry that defines your organization. This is due to EASYProcess features which allow users to alter the standard Employee Self Service Portal without the need for an entirely new application. Many of our customers start their roll-out (phase 1) using the standard portal and then progress into a much more customized version during the second roll-out (phase 2). These same customers incorporate user feedback into this phase as well in order to best serve the needs of those utilizing the product on a daily basis.
